Your purchasing data is for purchasing analysis—not advertising.
Tokatsu Global uses pilot information to understand repeat purchasing, identify products that may be equivalent, combine compatible demand, and evaluate possible supplier savings. We do not sell personal information, use uploaded documents for targeted advertising, or use them to train public AI models.
Information we collect
We collect information you choose to provide when applying to the pilot or contacting us, including:
- Business name, contact name, work email, phone number, location, and number of locations.
- Supply categories, estimated category spending, and notes about purchasing needs.
- Invoices, order records, or related documents you choose to upload.
- Document details such as file name, type, size, upload time, and secure storage reference.
Our website and hosting providers may also process ordinary technical information needed to operate and secure the site, such as IP address, browser type, device information, request time, and error or security logs.
How we handle purchasing documents
Uploaded files are placed in a private AWS storage bucket and are not publicly accessible.
Files are encrypted during transmission and stored with server-side encryption.
Access is limited to authorized people and systems that need the documents for the pilot.
Uploaded files are configured to expire automatically 180 days after upload.
We use purchasing documents to extract product descriptions, quantities, pack sizes, prices, fees, discounts, suppliers, and purchase dates. We may use AI-assisted tools to help structure and match this information, but people review important product-equivalence decisions and savings claims. Uploading a document does not authorize Tokatsu to place an order or make a purchasing commitment for your business.
We do not need payment-card numbers, bank account information, Social Security numbers, employee records, medical information, passwords, or authentication credentials. Please remove or redact that information before uploading a document.
How we use information
We use the information we collect to:
- Review pilot applications and communicate with participating businesses.
- Organize purchase history and calculate historical landed unit costs.
- Identify repeat purchases and potential overlap across participating businesses.
- Evaluate equivalent products, supplier fit, volume opportunities, and potential savings.
- Improve, secure, troubleshoot, and measure the pilot and website.
- Comply with law, enforce our agreements, and protect Tokatsu, participants, and others.
We may create aggregated or de-identified insights that do not reasonably identify a person or participating business. We may use those insights to improve Tokatsu and explain network-level demand.
When we share information
We do not sell personal information or share it for cross-context behavioral advertising. We may disclose information only in these limited situations:
- Service providers. Providers such as AWS and Microsoft may process information to host the site, store pilot data and documents, provide business email, maintain security, or support our operations.
- Supplier opportunities. We may share the minimum product, volume, delivery, and geographic details needed to evaluate a quote. We will not give a supplier your original invoice or identify your business without authorization when that disclosure is not necessary to the requested pilot work.
- Legal and safety reasons. We may disclose information when reasonably necessary to comply with law, respond to valid legal process, investigate misuse, or protect rights and safety.
- Business changes. Information may be transferred as part of a financing, merger, acquisition, reorganization, or sale, subject to appropriate confidentiality protections.
Security
We use administrative and technical safeguards designed for the pilot, including encrypted connections, private encrypted document storage, limited access, and automatic document expiration. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.
Retention and deletion
Uploaded purchasing documents are configured to expire automatically after 180 days. Pilot application information and extracted purchasing data may be kept while the pilot is active and afterward for only as long as reasonably needed for the purposes described here, legitimate business records, dispute prevention, security, or legal obligations. We may retain aggregated or de-identified information that no longer reasonably identifies you or your business.
You may request earlier deletion by emailing hello@tokatsuglobal.com. We may need to verify that you are authorized to make the request, and limited exceptions may apply when retention is legally required or reasonably necessary.
Your choices and privacy rights
You may ask to access, correct, or delete information associated with you or your business, or ask us to stop contacting you. Depending on where you live and the laws that apply, you may have additional privacy rights. We will not discriminate against you for making a privacy request.
To submit a request, email hello@tokatsuglobal.com with “Privacy request” in the subject line. We may ask for information needed to verify the request and protect the data from unauthorized access.
Children and international use
The Tokatsu pilot is a business service and is not directed to anyone under 18. Our initial operations are based in the United States. If our data practices or international operations materially change, we will update this notice before applying those changes to participating businesses.
Changes to this notice
We may update this notice as Tokatsu develops. We will post the revised notice here with a new “Last updated” date. If a change materially affects information already provided to us, we will give appropriate notice before the change takes effect.
